Privacy

Privacy for a Preschool through Grade 5 learning product.

PencilGo keeps child learning pages ad-free and adult-managed. This policy explains the information we collect, why we use it, who can see it, how long removed records stay, and how deletion requests work.

No child email required

Learners are represented by adult-created profiles. The learner sign-in flow is built around names, class codes, and managed access.

Adults can review work

Parents, guardians, teachers, and school staff use work records to see what was assigned, completed, skipped, or needs more practice.

Deletion has a clear path

A parent, guardian, or authorized school contact can ask us to remove a learner record and stop further use.

Scope

This privacy policy covers PencilGo pages, accounts, learner profiles, daily practice, printable workbooks, school tools, and support forms. PencilGo is designed for Preschool through Grade 5 learning use by children under adult direction.

What PencilGo collects

We collect the information needed to run a child learning product and keep a useful record for the adults responsible for the child.

  • Adult account details, such as an adult's name, email address, sign-in method, role, school information when provided, billing status, and support messages.
  • Learner profile details, such as a child's first name or nickname, grade, learning preferences, focus subjects, practice minutes, class membership, and access settings.
  • Learning work, such as assigned skills, worksheet or daily-plan activity, answers, scores, attempts, skipped work, completion status, timestamps, progress summaries, and paper-result entries that an adult records.
  • Uploaded learning evidence, such as report cards or scanned worksheets an adult chooses to upload for review.
  • Technical and safety information, such as device/browser information, session identifiers, security logs, rate-limit signals, approximate usage events, and first-party affiliate referral clicks needed to operate, protect, and attribute the service.

Why we use it

  • Create and manage adult, learner, classroom, and school workspaces.
  • Choose age-appropriate Preschool through Grade 5 practice, check answers, save progress, and show adults what needs support.
  • Let children sign in with a class code, QR code, device memory, or name card instead of an email account.
  • Provide support, send account or progress messages to adults, prevent abuse, maintain security, and meet legal or business record needs.
  • Extract learning signals from adult-uploaded reports or scanned worksheets when the adult presses Review.
  • Attribute a membership to an affiliate when a visitor follows a partner link. The first-party referral cookie lasts 60 days, or 90 days for selected creator partners.

PencilGo does not use child learning records for learner-page ads or behavioral advertising. Child learning pages have no ads.

Who can see it

  • Parents and guardians can see learner profiles and work for children they manage.
  • Teachers and school staff can see student names, grades, class placement, assignments, work, and progress for students their school or class manages.
  • Children can see their own name card, assigned work, and feedback. In a class sign-in picker, children may see classmates' display names so they can choose the right card.
  • PencilGo staff and service providers may access information only to operate, secure, support, improve, or troubleshoot the service. Third-party AI service providers may process uploaded report cards or scanned worksheets only when an adult asks PencilGo to review them.

We do not sell child learning records. We may disclose information when required by law, to protect the service, or with service providers that help run PencilGo.

Archived records and permanent deletion

Active records remain while the adult account, class, school, or learner profile uses PencilGo. When a learner, student, class, or school record is removed, PencilGo hides the removed record from normal learner use and keeps it for two years. After that two-year retention period, the removed record is scheduled for permanent deletion unless a legal requirement requires a different result.

Archiving a learner is different from permanently deleting an account. You can request permanent deletion sooner. Account settings also provide an immediate account-deletion option, which removes owned learner profiles and their learning records. Certain order and billing records remain where needed for receipts, refunds, and legal obligations. If you choose deletion at the end of a paid term, the account remains until that scheduled date.

How parents and schools request deletion

Parents or guardians can request deletion by using the contact form from the adult account email address and identifying the learner profile by name or nickname and grade. Schools can request deletion through an authorized school administrator, teacher, or owner contact. We may verify the requester before changing a child or student record.

If a school controls the student record, PencilGo may need to work with the school before deleting or exporting it. If a parent asks us directly about a school-managed record, we will route the request to the appropriate school process when needed.

Review, correction, and further collection

Parents, guardians, and authorized school contacts may ask to review, correct, delete, or stop further collection or use of a child's personal information. Use the contact form and include enough account, class, or school context for us to verify the request.

Children under 13 and COPPA

The Children’s Online Privacy Protection Act (COPPA) gives parents rights over personal information collected from children under 13. PencilGo is designed for adult-managed learning. Parents and guardians can ask to review or delete their child’s information, or stop further collection and use, by contacting us from their adult account email. We verify the requester before providing records or making changes. Stopping collection may prevent features that depend on saved learning records from working.

ESA availability emails

If an adult signs up for ESA updates, we store their email address, selected state, optional grade, and the date and wording of their consent. We use this information for PencilGo availability and purchase instructions for that state. The form does not ask for a child’s name or scholarship account number. You can ask us to remove your signup at [email protected].
